Student Conduct Policy

STUDENT CONDUCT, ATTENDANCE, ACADEMIC INTEGRITY, COMMUNICATION & INSTITUTIONAL PROTECTION POLICY
Effective Date: 20-February-2026
Applicable To: All Students, Individual Trainees, Corporate Participants
Jurisdiction: Bengaluru, Karnataka, India
1. PREAMBLE
Zion Alphatec is a duly constituted professional partnership firm engaged in:
- Information Technology & Software Development Training
- Corporate & Enterprise Technology Programs
- ESL (English as a Second Language)
- Spoken English & Communication Skills
- French Language Courses
- Other Foreign Language Programs
- Professional Development & Certification Courses
This policy establishes binding standards governing conduct, attendance, academic integrity, communication, financial discipline, and institutional respect.
Enrollment constitutes full and unconditional acceptance of this policy.
2. SCOPE & APPLICABILITY
This policy applies to:
- Offline classroom training
- Online/live virtual sessions
- Hybrid formats
- One-to-one personalised training
- Group batches
- Corporate or individual enrolments
The policy governs behaviour during:
- Academic sessions
- Telephonic communication
- WhatsApp communication
- Email correspondence
- Interaction with third parties concerning the institution
3. LEGAL STATUS OF THE INSTITUTION
Zion Alphatec is a legally constituted partnership firm operating in compliance with applicable Indian laws and statutory requirements, including GST registration.
Any allegation asserting that:
- Zion Alphatec is illegal
- Zion Alphatec is not a firm
- Zion Alphatec is fraudulent
without documentary evidence may constitute false representation or reputational harm.
Private emotional statements are distinguished from public publication; however, circulation of such allegations to third parties, landlords, students, or on social media may attract civil or criminal remedies under applicable law.
4. PROFESSIONAL CONDUCT & RESPECT
Students shall:
- Maintain punctuality and discipline
- Communicate respectfully
- Avoid abusive, insulting, or provocative language
- Refrain from personal attacks
- Avoid coercive or emotionally manipulative behaviour
Intentional insult, harassment, intimidation, or reputational harm may result in disciplinary action and escalation under applicable law.
5. ATTENDANCE POLICY
5.1 Mandatory Attendance
Attendance is compulsory across all programmes including:
- IT & Software Courses
- ESL
- French & Foreign Languages
- Communication Skills
- Corporate Training
Informal messages such as:
- “Sleeping”
- “Vehicle service”
- “Not feeling well” (without documentation)
- “Personal work”
- “Will come tomorrow”
- “Feeling low”
do not constitute approved leave.
5.2 Special Requirement – Language Programmes
Language learning (ESL, French, etc.) is interactive and practice-based.
Regular participation is essential for:
- Speaking fluency
- Listening development
- Live correction
- Structured progression
Repeated absence may result in:
- Skill regression
- Denial of progression
- Reassessment requirement
- Restart of module
- Termination in case of prolonged non-attendance
Language courses cannot be treated as passive theoretical sessions.
5.3 Leave Regularisation
Each day of absence must be regularised through:
- Official Leave Application (website form)
- Written explanation to training@zionalphatec.com
- Supporting documentation where required
Failure to regularise absence shall result in unauthorised absence marking.
5.4 Continuous Absence & Academic Review
- 7 consecutive days without documentation → Academic Warning
- 15 consecutive days without documentation → Academic Review
- Continued absence despite written reminders → Termination
Where management reserves trainer time and the student fails to attend, such conduct may be treated as misuse of institutional resources.
Zion Alphatec reserves the right to claim measurable institutional loss where deliberate non-attendance causes financial damage.
6. MISUSE OF SINGLE-STUDENT BATCH STRUCTURE
Where a batch consists of a single student:
- Repeated cancellation
- Confirming attendance but not appearing
- Alternating between cancellation and continuation
- Keeping trainer on hold
may be treated as institutional misuse.
Management may:
- Terminate enrolment
- Convert to group batch
- Restrict to online mode
- Deny continuation
7. COMMUNICATION PROTOCOL
7.1 Official Communication Channel
All formal communication must be addressed to:
WhatsApp does not replace official email.
7.2 Mandatory Communication Compliance
Students are required to:
- Respond to all official emails
- Provide complete explanations when requested
- Submit required forms
- Upload supporting documentation
- Clarify attendance discrepancies
Failure to respond while continuing informal messaging shall be treated as non-cooperation.
7.3 Non-Cooperation & Misconduct
The following may constitute misconduct:
- Ignoring official emails
- Refusing to answer specific queries raised by management
- Providing evasive or incomplete responses
- Repeatedly denying documented records without explanation
- Failing to submit required leave documentation
Students must cooperate fully and transparently in all institutional communications.
7.4 Communication Restriction
Where a student repeatedly fails to follow formal communication protocol, management may:
- Restrict communication to official email only
- Suspend informal channels
- Pause academic continuation until compliance
Management is not obligated to engage in prolonged informal discussion where official communication remains unanswered.
7.5 Harassment & Excessive Messaging
The following conduct is prohibited:
- Continuous messaging after clarification
- Repeated calls despite response
- Emotional escalation
- Pressurising for immediate decisions
- Coercive financial demands
- Attempts to provoke or intimidate
Such conduct may be treated as harassment or intentional disturbance.
Escalation under applicable law may be initiated where behaviour causes demonstrable harm.
8. REFUND & FINANCIAL GOVERNANCE
Refunds are governed strictly by the published Refund & Cancellation Policy.
Personal circumstances, emotional stress, or financial distress do not automatically create refund entitlement.
GST components are governed by statutory law.
Repeated pressure contrary to policy may be treated as misconduct.
9. ACADEMIC INTEGRITY
The institution does not issue:
- Fake experience certificates
- Backdated certificates
- Fabricated documentation
- Misleading academic representation
Requests for fabricated documentation may result in immediate termination and legal escalation under applicable laws relating to forgery and misrepresentation.
10. NON-INTERFERENCE WITH THIRD PARTIES
Students shall not:
- Escalate academic disputes to landlord
- Approach building owner to create pressure
- Coordinate with neighbours
- Spread misinformation
- Attempt to disrupt institutional operations
Academic matters are independent of tenancy matters.
Coordinated interference with lawful business operations may attract civil or criminal remedies.
11. OPERATIONAL DISRUPTION & MODE SHIFT
In circumstances involving:
- Premises constraints
- Utility disruption
- Infrastructure limitations
- Legal disputes
- Safety concerns
Zion Alphatec may:
- Shift to online mode
- Operate from branch office
- Reschedule sessions
- Restrict physical access
Refusal to attend lawful online continuation does not automatically entitle refund.
12. FALSE ALLEGATIONS & REPUTATION PROTECTION
Students shall not make reckless allegations regarding:
- Institutional legality
- Fraud
- Non-existence of firm
- Dishonest conduct
Private disagreements are distinguished from public publication; however, communication to third parties may attract legal consequences.
13. ESCALATION UNDER APPLICABLE LAW
Where conduct amounts to:
- Harassment
- Criminal intimidation
- Intentional insult
- Defamation
- Coercion
- Interference with lawful business
Zion Alphatec reserves the right to initiate appropriate proceedings under relevant provisions of Indian law.
14. AUTOMATIC TERMINATION
Enrolment may be terminated where a student:
- Fails to respond to repeated official emails
- Refuses to submit required documentation
- Remains continuously absent without regularisation
- Engages in harassment or misconduct
- Interferes with institutional operations
- Violates academic integrity
Termination shall result in forfeiture of continuation rights and may not create refund entitlement.
15. LIMITATION OF LIABILITY
Zion Alphatec shall not be liable for:
- Personal emotional distress
- Family pressure
- Financial difficulty
- Employment stress
- External personal circumstances
unless formally documented and approved.
16. GRIEVANCE REDRESSAL
Formal grievances must be submitted in writing via official email.
Informal messaging does not constitute formal complaint.
17. JURISDICTION
All disputes are subject to the exclusive jurisdiction of courts in Bengaluru, Karnataka, India.
18. RESERVATION OF RIGHTS
Zion Alphatec reserves the right to:
- Modify batch allocation
- Suspend communication
- Deny continuation
- Claim measurable institutional damages
- Initiate civil or criminal proceedings where warranted
